If you've looked into automating parts of your business, you've probably seen n8n mentioned alongside tools like Zapier or Make. But n8n has a different approach - and for small businesses that want more control over their workflows, it's worth understanding.

What n8n Does

n8n is a workflow automation tool. It connects apps and services together so that when something happens in one system, it can automatically trigger actions in another.

  • A new deal in HubSpot → send a personalised email → update a tracking spreadsheet

Why n8n Over Zapier or Make?

Make (formerly Integromat) is more powerful and visual, but can get expensive as usage grows.

n8n is open-source and can be self-hosted, which means you can run it on your own server and avoid per-task pricing. It also supports more complex workflows - loops, conditional logic, custom code when needed - without hitting the kind of walls you encounter in other tools.

What n8n Isn't

n8n isn't a plug-and-play solution. It requires some setup, and building workflows takes time to get right. It's not the right tool for someone who wants to automate something in an afternoon without any technical help.

But for businesses that want workflows they own, that can grow with them, and that don't come with a bill that scales with every automation run - it's a strong choice.

n8n works well for businesses that:

  • Have recurring workflows involving multiple tools
  • Want to avoid ongoing per-task fees as their usage grows
  • Are open to having someone set up and maintain their workflows

If you're dealing with repetitive work across Gmail, Google Sheets, HubSpot, Jira, or similar tools - n8n is likely the right foundation.
